<p> Position: Operations Processor</p><p> Location: Phoenix, AZ Description:</p><p> The Operations Processor is responsible for the accurate and timely execution of departmental procedures to sort, image and index all incoming documents and correspondence and enter them into the workflow.</p><p> Support of Operations teams responsible for the establishment, maintenance and closure of brokerage and non-brokerage accounts. Must be able to acquire and retain knowledge of industry rules and best practices regarding basic brokerage and non-brokerage account operations.</p><p> Essential duties and responsibilities include the following, other duties may be assigned: Processing incoming Operations mail by type; organizing them as they relate to each other and their respective departments. Logging overnight packages and checks. Ensuring immediate and accurate preparation of documents for scanning. Boxing scanned documents in preparation for offsite storage; recording boxed contents and coding them correctly for easy retrieval. Preparing outgoing mail to be returned to Financial Advisors and clients. Managing document research requests. Imaging incoming items into the optical storage and workflow system and ensuring that imaged items are clear and legible. Providing specific values for each imaged document (indexing) to ensure proper routing and retrieval. Filing original documents. Maintaining E-Document Express CD's, a media outlet for client account statements for representatives and OSJ's. Researching and preparing items requested for re-scan. Cross-training on all departmental functions and demonstrating flexibility to respond to variable workflow. Demonstrating close attention to detail, working on repetitive tasks with accuracy, and following-up when necessary. Exercising sound judgment related to escalated issues and referring to team leader or supervisor as needed. Responding to incoming requests from internal and external customers, including research and problem-solving, entering data into contact management system, and providing timely follow-up communication. Good verbal and written communication skills are necessary. Making appropriate decisions to assist in areas of need in order to ensure that department service levels are maintained. Assisting with special projects and research as needed.</p><p> Requirements: Strong attention to detail, follow up, organizational and time management skills. Must be team-oriented and client-focused. Must become proficient in internal and external systems such as NetX360, Salesforce, Imaging. Knowledge of brokerage operations preferred . Work Schedule(Monday - Friday) 8-4:30 or 8:30-5(potential OT as needed) Dress Code Business Casual(jeans ok on Friday)</p><p> Preferred Qualifications: Looking for a candidate who is able to do repetitive/ tedious work for long periods, quick learner as there is alot of documentation routing to different areas so they need to pick up quickly. Retention of information is very important. Critical thinking skills is strongly preferred, learning curve should be short. Financial industry is helpful but not required. Being able to understand some of the financial industry lingo is helpful. Indexing and filing of hard copy documents. Salesforce is used, along with FEI(Front end imaging) system. Must have Basic Microsoft office skills(emailing is essential). Overall understanding of technology is helpful for this role.
