<p> Under the supervision of the Senior Office Manager, the ideal Assistant will provide administrative support to the Sr. Admin Director: manage calendar and support travel needs and other duties as assigned Answer front desk phones Greet guests and ensure Facility Access Procedures are followed Assist with entering data, reconciling credit cards and preparing expense reports for general office supplies, shipping, facility and travel related purchases Distribution of mail and shipping including: newspapers, magazines, packages, inter-office mail Assist with management of calendars; conference room scheduling including securing multiple meeting Assist with ordering food for staff kitchens and supplies, meetings, setup and cleanup of conference rooms and kitchens Assist with ordering office supplies, support copy machines, conference room equipment and work with a variety of vendors that support our offices Assist with facility support as Front Desk requests Assist with travel arrangements for Sr. VP, Fuels and Project Development Assist with on-boarding and off-boarding employees and consultants; setup new workstations Copy, scan, file, and track a variety of documents Assist with Internal Communications Assist with Administrative support as requested by Sr. Office Manager and Administrative Assistant Assist with editing/proofreading documents electronically including presentations (Word and Power Point), spreadsheets (Excel), and possibly Visio documents Provide coverage for Facilities Receptionist lunch breaks and serve as backup Learn and understand the nature of the business in order to provide value-added service and enhance working relationships Other duties as assigned</p><p> Required Skills / Qualifications: Two plus years of equivalent level administrative support experience Go Beyond. .
